PURPOSE OF POSITION:

The position will provide clerical and administrative support to the Finance department and assists with routine accounting functions. This position supports the achievement of departmental objectives by ensuring accurate processing, organization, and maintenance of financial information, under the guidance of accounting staff.

KEY RESPONSIBILITY AREAS:

Accounting Support

  • Assist with accounts payable and accounts receivable processing
  • Enter financial data into accounting systems with a high level of accuracy
  • Prepare and verify invoices, expense claims, and supporting documentation
  • Assist with bank, balance sheet, and account reconciliations as directed
  • Support month-end and year-end procedures by compiling required information

Records & Documentation

  • Maintain organized electronic and paper financial files
  • Scan, file, and retrieve accounting-related documents
  • Ensure documentation complies with internal controls and retention requirements

Reporting & Administration

  • Assist in preparing basic reports, spreadsheets, and schedules
  • Respond to internal inquiries or direct questions to appropriate staff
  • Provide general administrative support to the Accounting & Finance teams
  • Investigate and follow up on discrepancies, outages, or missing information by communicating with external vendors or internal stakeholders as required

General

  • Maintain confidentiality of financial and operational information
  • Adhere to company policies, procedures, and internal controls
  • Perform other related duties as assigned

Working Conditions

  • Standard office environment
  • Prolonged periods of sitting and computer use
  • Some flexibility in work hours may be required during peak periods

QUALIFICATION AND SKILLS:

  • Currently enrolled in a post-secondary program in Accounting, Finance, Business Administration, or a related discipline
  • Completion of at least one year of relevant coursework preferred
  • Previous office, accounting, or administrative experience is considered an asset
  • Basic understanding of accounting principles and practices
  • Strong attention to detail and accuracy
  • Ability to handle confidential information responsibly
  • Proficiency with Microsoft Office applications, particularly Excel
  • Effective written and verbal communication skills
  • Strong organizational and time-management skills
  • Ability to work both independently and as part of a team
  • Adaptable, with a positive attitude toward change and continuous improvement
