Position Summary

This is a paid internship position in partnership with the NOHFC. The Facility & Program Coordinator Intern will play a key role in ensuring the smooth operation of our gymnastics facility and the delivery of high-quality programs. This position focuses on streamlining program bookings and scheduling, enhancing communication with families, and supporting staff coordination. The successful candidate will be highly organized, detail-oriented, and committed to providing an excellent experience for parents, athletes, and staff alike.By adding value and efficiency to both customer service and the parent/athlete experience, this role directly supports our mission of delivering accessible, high-quality programming to the community.

Key ResponsibilitiesProgram & Booking Coordination

  • Manage and streamline program registrations, bookings, and scheduling for all recreational, competitive, and special event programs.
  • Maintain accurate class schedules, staff assignments, and facility usage calendars.
  • Implement tools and systems to simplify the booking and payment and tracking process for families
  • Monitor program enrollment and communicate with families regarding waitlists, cancellations, and schedule changes.

Family & Community Communication

  • Serve as a primary point of contact for families regarding schedules, bookings, and program inquiries.
  • Ensure timely, clear, and professional communication across email, phone, and digital platforms.
  • Create and distribute program updates, reminders, and newsletters to keep families informed and engaged.
  • Support a positive and welcoming experience for families entering the facility.

Staff Oversight, Mentorship & Safety

  • Oversee the daily flow of gym operations to ensure classes run smoothly and on time.
  • Monitor how staff are coaching to ensure consistent quality, safe progressions, and adherence to club standards.
  • Mentor and support coaches by providing guidance, resources, and constructive feedback to improve their teaching and communication skills.
  • Supervise program delivery to ensure a safe, inclusive, and positive experience for all athletes.
  • Work with leadership to implement and reinforce processes that increase organization, efficiency, and program excellence.

Staff & Facility Support

  • Coordinate staff schedules and communicate program needs to coaches and instructors.
  • Ensure facility spaces are booked, prepared, and set up appropriately for each program or rental.
  • Assist with tracking facility usage and identify opportunities to improve efficiency and maximize space.
  • Work closely with leadership to identify gaps and implement solutions that improve program delivery and customer satisfaction.

Community Engagement & Events

  • Oversee and coordinate community events hosted by the club, ensuring strong organization and execution.
  • Enhance the club’s branded presence in the community by representing GymZone at local events, school visits, and outreach opportunities.
  • Collaborate with staff to plan and deliver special events, showcases, and family engagement activities that promote the club and its programs.

Administrative Duties

  • Maintain accurate records of program participation, facility rentals, and revenue reports.
  • Support various funding reporting from local partners, data collection, and program evaluations as needed.
  • Develop and update policy and procedure documentation for bookings and program coordination.

Qualifications

  • Are new entrants into the workforce, are transitioning to a new career, or unemployed or underemployed who are entering a new field
  • Have not previously participated in a NOHFC-funded internship
  • Are at least 18 years of age; and reside, and be legally entitled to work, in Canada
  • Must be a recent graduate of post-secondary education with experience in sport management, recreation, kinesiology, business, marketing administration, or a related field with a strong background and understanding of the sport of gymnastics
  • Strong organizational and administrative skills with keen attention to detail.
  • Excellent communication skills (verbal, written, and digital).
  • Experience working in a customer service or family-focused environment.
  • Proficiency in scheduling/registration software (e.g., Uplifter, iClass, or equivalent) considered an asset.
  • Ability to work independently while collaborating effectively with a team
  • Passion for youth sport, active living, and community engagement.

Pay: $17.60-$21.75 per hour

Expected hours: 35 per week
