POSITION OVERVIEW

As a Program Coordinator Assistant, you will support the preparation, coordination, and delivery of Seagull Institute’s educational and intercultural programs.

This internship is hands-on and immersive. You will be involved in program planning, logistics, on-the-ground coordination, and participant support, contributing directly to the quality of the experience delivered to students and young professionals from around the world.

Working closely with Seagull’s international team, you will gain practical exposure to program coordination, event operations, and participant experience management in a fast-paced, multicultural environment. Seagull operates with a strong entrepreneurial mindset, valuing autonomy, ownership, and problem-solving.

This role is ideal for a motivated, organized, and proactive individual looking for a meaningful internship with real responsibility, strong learning outcomes, and a clear “before and after” professional experience.

KEY RESPONSIBILITIES

  • Support program planning and coordination before and during program delivery
  • Assist with logistics including venues, transportation, catering, supplies, and materials
  • Help prepare classrooms and program spaces
  • Support participant coordination, communication, and on-site needs
  • Create and manage program documents (participant lists, certificates, schedules, badges)
  • Update and maintain CRM and internal tracking tools (e.g., Monday.com)
  • Assist with staff travel coordination when needed
  • Support post-program wrap-up including surveys, feedback collection, and documentation
  • Flag issues early and contribute to continuous improvement of program operations

This position is primarily remote during program planning and preparation phases. On-site presence is required during live program delivery, depending on program location and needs. Availability and flexibility are expected during program periods.

QUALIFICATIONS & SKILLSRequired:

Preferred:

  • Public speaking, presentation
  • Experience working in or with higher education institutions, particularly in study abroad or international education
  • Understanding of student development theory and faculty-led program dynamics in higher education settings
  • Familiarity with international program logistics and cross-cultural learning in international education
  • Experience living or working abroad

Digital Proficiency:

  • CRM systems (e.g., Monday.com)
  • Google Suite
  • Email marketing and content tools (e.g., Mailchimp, Canva)

  • Paid Time Off: 5 weeks annually, including 2 weeks during the summer, 2 weeks over the Christmas holiday period, and 1 additional floating week to be used at your discretion

The employee must occasionally lift and/or move up to 25 pounds.
