Junior Accountant / Bookkeeper (QuickBooks Desktop) β Part-Time
Work Locations (Split Role)
- Client site (in-person): Avenue Road & Hwy 401 area, Toronto β 1β2 days per week (must be able to drive)
- Our office: Oshawa β 1β2 days per week (part-time office work)
Schedule
Part-time (approximately [15β30] hours/week). Must be available to attend the Toronto client site 1β2 days/week and work from our Oshawa office 1β2 days/week.
Role Summary
We are hiring a detail-focused Junior Accountant/Bookkeeper with 2β3 years of QuickBooks Desktop experience who can manage bookkeeping for multiple companies. The role includes monthly bank, investment, and full balance sheet reconciliations, accounts payable/receivable processing, document handling, and preparing organized working papers to send to the Accountant.
Key Responsibilities
- Use QuickBooks Desktop on Windows to maintain accurate books for multiple companies
- Enter and manage bills, invoices, payments, deposits, and adjustments
- Print cheques from QuickBooks Desktop with proper support and cheque sequence controls
- Prepare and post journal entries with clear descriptions and supporting documentation
Reconciliations (Core Requirement)
- Complete monthly bank reconciliations and resolve discrepancies
- Perform full balance sheet reconciliations for all balance sheet accounts, including:
- Bank and credit card accounts
- Accounts receivable / accounts payable
- Loans and lines of credit
- Accrued liabilities and prepaid expenses
- Other balance sheet accounts as assigned
- Perform monthly investment reconciliations including:
- Investment bank accounts
- Investment brokerage statements (matching activity to books)
- Track lines of credit and interest statements, maintain schedules, and ensure accurate postings
Payments & Online Banking
- Help set up and process bill payments through online banking (as required)
- Ensure payments are properly recorded and supported
Working Papers & File Management
- Prepare and send organized working papers to the Accountant (clear schedules, supporting documents, consistent folder structure)
- File personal and corporate statements in the office filing system
- Scan documents and save accurately to the correct client/company folders using standard naming conventions
In-Person Requirements
- Must be able to drive 1β2 days/week to the clientβs office near Avenue Road & Hwy 401 (Toronto)
- Must be able to work 1β2 days/week in our Oshawa office
Required Qualifications (Must-Haves)
- 2β3 years experience with QuickBooks Desktop
- 2β3 years experience with bank reconciliations and balance sheet reconciliations
- Must be comfortable working with multiple companies in QuickBooks Desktop
- Must be able to work on Windows and use QuickBooks Desktop confidently
- Strong English communication skills (written and spoken)
- Strong attention to detail, organization, confidentiality, and deadline management
Nice to Have
- Experience with investment/brokerage reconciliations
- Experience in a bookkeeping/accounting firm environment
- Familiarity with creating schedules for loan/LOC tracking and interest allocations
