Position Summary:
The Junior Supply Chain Analyst is responsible for supporting purchasing, supply planning, logistics, inventory control, and administrative processes to ensure efficient product and information flow between suppliers, customers, and internal departments. This role serves as a key liaison among stakeholders and contributes to operational excellence and commercial service levels.
Key Responsibilities
Purchasing / Supply Planning
- Act as the main point of contact with CMOs for Purchase Order (PO) management; create POs according to the rolling purchase forecast and ensure timely delivery as scheduled.
- Collect sales orders from Export Customers based on their rolling forecast; verify pricing and pick-up dates, then create Export POs accordingly.
- Support the Supervisor in preparing monthly rolling forecasts for each CMO.
- Monitor PO, production, and delivery status; proactively expedite urgent orders and resolve shortages, missed or late deliveries, and other issues.
- Liaise with Accounts Payable to match supplier invoices with packing slips and POs, ensuring accurate and timely PO receiving (quantity and lot number).
- Perform monthly reconciliation of product labels and folding carton inventory with the Controller for each CMO.
- Review PO receiving and close CMO backorders in coordination with the Finance team to maintain up-to-date ERP records.
- Assist in managing inventory levels to maintain desired customer service levels for existing and new products.
- Maintain accuracy of SKU Master file and related information in NetSuite.
- Prepare backorder summaries and short-dated inventory communications for internal teams as needed.
Logistics / Warehousing
- Support the Supervisor in negotiating freight rates with carriers and freight forwarders for domestic and international shipments.
- Collect shipment details and shipping paperwork from CMOs, covering air, sea, and ground transport.
- Review packing lists, invoices, and related documents to ensure accuracy of quantity, pricing, and lot numbers; ensure timely collection of customs invoices.
- Act as the point of contact with CMOs and export customers for factory pick-ups, coordinating with Finance for timely PO receiving and sales invoicing.
- Organize and electronically file import/export shipping documents for future tracking and reference.
- Track import container arrivals, liaising with forwarders and customs brokers for inspections, delays, or issues.
- Prepare inbound arrival notices for 3PL warehouse, QA, Orders, and AP teams; expedite receiving and product release as needed.
- Arrange procurement of temperature monitoring devices for CMOs.
- Collaborate with AP team to reconcile or dispute incorrect charges from freight forwarders, 3PL warehouses, or domestic carriers.
- Escalate scheduling or appointment issues between freight forwarders, carriers, and 3PL warehouses.
- Maintain frequent communication with 3PL warehouse to resolve issues related to inbound receiving, order processing, shipping, QA, and inventory management.
Other / Ad Hoc Activities
- Serve as a courteous and professional point of contact for internal (Finance, Marketing, Orders, QA, RA, Sales) and external stakeholders (freight forwarders, carriers, 3PL, customs brokers, CMOs, testing labs, customers).
- Prepare and submit files requested by certain customers (e.g., weekly backorder reports, daily open POs with availability dates, vendor PO confirmations, items with no availability dates).
- Provide ad hoc reporting and data analysis as requested by the Supervisor.
- Undertake special projects and assignments as assigned.
Qualifications & Experience
- Post-secondary education in Supply Chain Management, Logistics, Business Administration, or related field.
- Minimum of 2 years of experience in purchasing, inventory management, supply planning, or other supply chain-related areas.
- Results-oriented with the ability to manage multiple priorities in a fast-paced, dynamic environment.
- Proficiency in ERP systems (NetSuite) and Microsoft Office.
- Strong analytical and problem-solving skills.
- Excellent written, verbal, and presentation skills; able to communicate complex ideas clearly.
- Strong attention to detail, willingness to learn, and ability to troubleshoot complex issues.
- Experience in Retail, CPG, or Distribution is a plus.
- Pharmaceutical experience strongly preferred.
- Computer literacy including word processing, Excel, email, and presentation software.
- Fluency in English required; proficiency in Portuguese and/or French is an asset.
