Job Overview

We are seeking a motivated and detail-oriented Entry-Level Executive Assistant & Program Assistant & Data Entry and Client Support to join our team in a dynamic, fast-paced environment. This full-time or part-time role offers an excellent opportunity for individuals looking to develop their administrative, organizational, and client support skills. The ideal candidate will be proactive, highly organized, and capable of managing multiple tasks efficiently while providing exceptional support to our team and clients.

Duties

  • Manage and maintain schedules using Microsoft Outlook Calendar and Google Workspace to coordinate meetings and appointments
  • Perform data entry tasks with accuracy using Microsoft Office, Google Workspace, and other relevant software tools
  • Handle incoming calls via multi-line phone systems with professional phone etiquette, providing excellent customer service
  • Assist with bookkeeping and financial record-keeping utilizing QuickBooks and basic office accounting procedures
  • Prepare, proofread, and file documents to ensure accuracy and organization
  • Support front desk operations including greeting visitors, managing inquiries, and maintaining a welcoming environment
  • Use DocuSign for electronic document signing and management processes
  • Maintain organized filing systems both digitally and physically for easy retrieval of information
  • Provide general administrative support including copying, scanning, and managing correspondence
  • Assist with program coordination, client communication, and project support as needed

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Experience with QuickBooks or bookkeeping software is a plus
  • Strong typing skills with high accuracy for data entry tasks
  • Excellent organizational skills with the ability to prioritize multiple responsibilities effectively
  • Demonstrated customer service skills with professional phone etiquette and communication abilities
  • Attention to detail for proofreading documents and maintaining accurate records
  • Office experience or clerical background preferred; familiarity with front desk operations is advantageous
  • Ability to adapt quickly to new software tools such as DocuSign and multi-line phone systems
  • Strong organizational skills for managing schedules, files, and correspondence efficiently
