Job Overview
We are seeking a detail-oriented and organized Entry-Level Executive Assistant & Program Assistant & Data Entry and Client Support to join our team. This versatile role offers an excellent opportunity for individuals interested in administrative support, client communication, and data management. The position can be full-time or part-time, providing flexibility to accommodate your schedule. The ideal candidate will possess strong organizational skills, proficiency with office software, and excellent communication abilities to support our operations effectively. This role involves handling clerical tasks, supporting program activities, managing data entry, and providing exceptional client support to ensure smooth daily operations.
Responsibilities
- Manage and maintain schedules using Microsoft Outlook Calendar and Google Workspace to coordinate meetings and appointments.
- Perform data entry tasks accurately using various software tools, including Microsoft Office and Google Workspace.
- Handle front desk duties such as greeting visitors, answering multi-line phone systems, and managing incoming calls with professional phone etiquette.
- Support bookkeeping activities utilizing QuickBooks and assist with basic bookkeeping tasks.
- Assist with document proofreading, editing, and filing to ensure accuracy and organization of records.
- Prepare correspondence, reports, and presentations using Microsoft Office Suite.
- Support client communication through email correspondence via DocuSign and other platforms.
- Maintain organized files both digitally and physically for easy retrieval of information.
- Provide administrative support for programs or projects as assigned, including scheduling, follow-up, and documentation.
- Assist with office supply management and general clerical duties to ensure efficient office operations.
Skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks for basic bookkeeping tasks is a plus.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent customer service skills with professional phone etiquette and communication abilities.
- Typing speed and accuracy for efficient data entry tasks.
- Attention to detail for proofreading documents and maintaining accurate records.
- Familiarity with office equipment such as multi-line phone systems, printers, and filing systems.
- Ability to manage calendars effectively using Microsoft Outlook Calendar or similar tools.
- Experience with DocuSign or other electronic signature platforms is desirable.
- Administrative or clerical experience preferred but not required; a proactive attitude toward learning is essential.

Pay: $44,000.00-$58,000.00 per year
