About the Role
Reporting to the Supervisor, Total Rewards, the HR Associate provides integrated operational support across multiple People Services portfolios, including Total Rewards, Workforce Planning, and Labour Relations.
As the first point of contact for internal and external HR inquiries, you will play a key role in ensuring a responsive, consistent, and high-quality HR service experience.
You will work within a unionized environment, collaborating closely with HR colleagues and using multiple HR information systems to deliver accurate, timely, and compliant support.
What You Will Do
Deliver Responsive HR Service
- Manage shared HR inboxes and triage incoming inquiries
- Assess priority levels, assign requests, and ensure timely follow-up
- Maintain high service standards for internal and external clients
Support Employee Data & HR Systems
- Enter, update, and maintain employee information across HR systems (e.g., HRIS, ATS, LMS)
- Process employee lifecycle transactions and documentation
- Ensure records are complete, accurate, and audit-ready
Provide Frontline HR Guidance
- Respond to inquiries related to HR policies, collective agreements, and Total Rewards programs
- Support employees and leaders in navigating HR processes and documentation
- Assist with recruitment and onboarding coordination activities
Contribute to Reporting & Compliance
- Generate routine HR reports and track key HR timelines
- Support audit readiness and compliance processes
- Assist with expense submissions, union billing, and ad hoc reporting
What You Bring
Education & Experience
- 3-year advanced diploma in Human Resources, Business Administration, or related field
- University degree preferred
- Minimum 1 year of relevant experience in an HR or administrative environment
Technical & Functional Skills
- Strong data entry skills with a high level of accuracy and attention to detail
- Experience with HR systems (e.g., SAP, ATS, LMS) and Microsoft Office
- Ability to manage high volumes of work and competing priorities
Knowledge & Abilities
- Understanding of HR processes, employment policies, and collective agreements
- Strong communication skills with the ability to support diverse stakeholders
- Excellent organizational and time-management skills in a fast-paced environment
- Analytical mindset with problem-solving abilities

Position Details
- Status: Full-Time
- Salary: $67,901.93 – $81,482.90 per year (Class 3) + benefits/pension
- Union: Non-Union
- Location: Kingston General Hospital Site, 76 Stuart Street, Kingston, Ontario
