JOB DESCRIPTION
Under the direction of the Manager, Human Resources, the Human Resources Student provides administrative support and assistance essential to the functioning of the Human Resources and Occupational Health Department; provides assistance & clerical support to the recruitment and selection function.
Key Duties and Responsibilities:
Human Resources
- Answering telephone and in-person inquiries
- Ascertains nature of inquiry and directing them to appropriate HR staff
- Receives and directs all visitors to the appropriate area and notifies the responsible staff person.
- Relays clear, accurate messages, provides follow-up when required and when appropriate
- Ensures staff are aware of urgent messages and information.
- Ensures that candidates complete appropriate documentation for recruitment
- Photocopies registrations/licenses of candidates.
- Removes faxes from fax machine and distributes to the appropriate HR staff
- Arranges for courier of offer packages
- Screens, sorts and distributes incoming and outgoing mail and documents; responds to or processes mail or documents independently in accordance with departmental procedures
- Arranges photocopying/printing, on request
- Coordinates the care and maintenance of office equipment (computers, telephones, fax machine and photocopier) including programming of the fax machine
- Ensures the cleanliness of the department by communicating additional housekeeping requirements to Housekeeping Services
- Other duties as assigned.
- Coordinates with managers and candidates to schedule all internal and external interviews and prepare interview packages
- Assemble offer packages
- Prepare various receipt letters for internal candidates
- Prepare unsuccessful letters for interviewed candidates
- Performs references checks
- Attends to filing on a daily basis
- Accurately files HR documents in the appropriate locations, including general personnel documents, benefit and pension documents, job postings, grievances etc on a daily basis
- Pulls information from files as needed for HR team.
- Ensures file room is organized, clean and tidy.
- Responsible to recognize and report patient, staff, and environment safety issues, identify and implement preventative and corrective actions, within the scope of this role.
N95 Mask fit Testing
- Schedule appointments.
- Print intranet schedule and prepare daily test schedules.
- Call employees for reminders for testing.
- Set up Portacount machine and N95 Companion- perform daily checks (Ambient, Zero Check and Maximum Fit Factor).
- Complete the pre-test health screening form.
- Complete N95 mask fit testing.
- Complete the post-test questionnaire.
- Alphabetize and file the health screening and post-test questionnaires afterward.
- Enter mask fit information into departmental reports upon completion.
- Sort and file reports into the appropriate N95 binder and staff file.
- Troubleshoot when machine is not working.
- Review new employee mask fit history to determine validity and if mask is available.
- Ensure an adequate number of health screening and post-test questionnaire forms are available. If required, make photocopies.
Inform the Coordinator of any changes to the fit testing schedule to make appropriate changes to the appointment database.
Requirements:
- Must be registered and attending a community College Business Program with a Major in Human Resources
- Recent experience in an office environment.
- Strong knowledge in administrative principles and practices
- Knowledge at Intermediate to advance Microsoft Office Suite computer skills and internet.
- Knowledge of grammar, punctuation and spelling.
- Knowledge of office equipment.
- Strong skills in administrative practices.
- Excellent interpersonal skills and communication including tact and diplomacy when responding to telephones, greeting visitors and attending meetings.
- Excellent proof-reading abilities.
- Strong organizational, prioritization and time management abilities to ensure that assignments are completed with deadlines and established time frames.
- Strong planning and coordinating abilities to ensure booking meeting rooms and scheduled luncheons are coordinated successfully.
- Attention to detail reviewing all materials.
